  Position Description

Full time opportunity to work at our Naperville location, M-F 1st shift with rotating Saturdays, normal business hours.

Oversees registrars at multiple sites in the day-to-day activities involved in the accurate, timely and comprehensive registration and insurance verification of DuPage Medical Group (DMG) patients.  Primary contact for assigned DMG decentralized registration sites.  Member of Prelude implementation/upgrade team.  Complies with established company polices and procedures and communicates those, in addition to patient status, to clinical departments.  Insures registrar compliance to said policies and procedures through audits and ongoing training.  Primary trainer for Registration Training.

Position Requirements

Primary Duties and Responsibilities

1. Responsible for the supervision of Central Registration staff at the Naperville (Spalding and Rickert) sites.   
2. Primary registration contact for decentralized sites as assigned.  Conducts assessments of each site’s workflows, targeting those that impact patient registration, and makes recommendations for improvements that wither correct issues or improve patient satisfaction.  Works with site managers to insure quality, turn around time, and procedural compliance.
3. Supports EPIC’s Registration Charge Review Workqueues, Duplicate Patient Report, and Claim Edit Workqueues.  Identifies potential workflow problems and makes improvement recommendations.  Works with site managers, DMG management team and staff to improve outcomes and reduce turnaround time.
4. Acts as the lead Coordinator for Registration Training.  Responsible for scheduling training, skill verification testing, material development and documentation.  Develops and maintains registration reference materials that support and are consistent with company policy, health plan, state, and/or federal requirements.
5. Completes monthly Central Registration staff audits and completes audits for decentralized registrars on a quarterly basis to insure compliance and consistency.  Reviews audits with supervisor and provides additional training or follow-up with staff when indicated. Provides feedback to site mangers and provides additional training when necessary.
6. Maintains staffing schedules, payroll and paid time off benefits for Central Registration staff.  Coordinates staffing to ensure coverage across all registration sites.  Maintains accurate and current related records.
7. Demonstrates a superior knowledge of all areas of the registration and insurance verification process, including the functionality of related Epic modules.  Provides summary and volume reporting to supervisor when requested.  Monitors current processes for efficiency.  Expert knowledge of coverage and registration guidelines for all plans.
8. Participates in the Prelude/Registration Workgroup.  Is involved in system/process development, testing and implementation of Prelude upgrades, conversions, and enhancements.  Documents related procedures and disseminates related information to staff.
9. Responds to questions, issues or problems raised by staff and patients regarding all aspects of registration and insurance verification.
10. Primary trainer for staff.  Provides written audit and assessment to supervisor within the first 30 days for new hires/employees.
11. Participates in registration meetings.  Responsible for the timely distribution of information to staff.
12. Works closely with Patient Financial Services, Customer Service, and Managed Care Operations departments to insure accurate patient, account and coverage information.  Researches and resolves any complex registration issue.  Communicates with appropriate management or staff to insure identified problems are resolved.  Responds to inquiries promptly.
13. Supports and performs all primary duties and responsibilities as outlined under the Registrar job description.
14. Maintains confidentiality of all information as stipulated in the HIPPA Privacy Rules and DMG confidentiality policy.
15. Demonstrates an understanding of departmental goals and company values through everyday attitude and behavior.  Leads by example.
16. Performs other projects and duties as assigned.

Supervisory Responsibilities

Responsible for the direct supervision of all Central Registration registrars with guidance from the Registration Supervisor. Responsible for working cohesively with all Registration Coordinators to provide coverage for all central and decentralized registration responsibilities.
